Accepted digital document formats

The CAS Head Office accepts digital documents exclusively in the following formats:

  • Output data formats for static text components and static combined text and image components:

PDF/A ISO 19005, PDF/A-3 and higher, provided it does not contain a component in a data format that is not an output data format, and does not contain other components 

DOC(X), TXT, RTF, XLS(X), PPT(X), PDF, ZFO, HTML

  • Output data formats for static image components:

PNG ISO/IEC 15948, TIF/TIFF revision 6 – uncompressed, JPEG/JFIF ISO/IEC 10918

  • Output data formats for dynamic image components:

GIF, MPEG-1 ISO/IEC 11172, MPEG-2 ISO/IEC 13818, MPEG-4 ISO/IEC 14496

  • Output data formats for audio components:

MP2, MP3, WAV (PCM modulation)

  • Output data format for databases and data sets:

XML (the transmitted component must include a structure description using XML schema or DTD)

  • Output data format for electronic accounting records containing an electronic invoice:

ISDOC(X) version 5.2 and higher, UBL 2.1, UN/CEFACT CII

COMPONENTS IN OTHER DATA FORMATS (ESPECIALLY COMPRESSED .ZIP FORMAT) ARE NOT ACCEPTED.

Conditions for accepting portable data storage media

The CAS Head Office exclusively accepts the following portable data storage media (“data carrier”): CD-ROM, DVD-ROM, USB flash drive.

The data carrier must be readable on MS Windows 11.

The data carrier must be accompanied by a cover letter indicating the sender’s identification (name, surname, address or e-mail) and detailed information about the submission contained on the data carrier. The data carrier must contain no content other than the submission and, if applicable, properly labelled attachments. If the data carrier contains unlabelled or unrelated data, the entire data message on the data carrier will be considered a defective document.

The data carrier will not be returned to the sender.

Handling of data messages containing a defective data format or computer program capable of causing damage to the CAS information system or to information processed by the CAS Head Office (“malicious code”)

A data message containing malicious code will not be stored by the CAS Head Office and will be destroyed immediately. If the sender’s electronic address can be determined, the CAS Head Office will notify the sender of the detected malicious code or of the destruction of the document.

Consequences of defects in delivered documents

If a document in paper form delivered to the CAS Head Office is incomplete, unreadable, or does not meet other conditions for document acceptance, and the sender and their contact information can be identified, the CAS Head Office will notify the sender of the defect and determine further steps for its correction. If the defect cannot be corrected, or the sender and their contact information cannot be determined, the CAS Head Office will not process the document further.

The same procedure applies if a digital document, including a data message containing it, is delivered to the CAS Head Office and is incomplete, cannot be viewed in a user‑perceivable way, is not in an accepted data format, is not stored on an accepted portable data storage medium, or does not meet other conditions for document acceptance.

Confirmation of delivery of a data message

Confirmation of sending and delivery of a data message via the CAS data mailbox is provided to the sender by the Data Mailbox Information System.

Confirmation of delivery of a data message via the CAS Head Office electronic registry is sent by the CAS Head Office electronic registry to the electronic address from which the message was sent; if the sender does not receive a confirmation of delivery, the submission is considered undelivered.

A message confirming the delivery of a data message is not a confirmation of compliance with submission requirements under other legal regulations.

Unsolicited commercial messages (SPAM) are neither confirmed nor further processed.

Maximum size of a single data message:

    • Delivered via the Data Mailbox Information System: 100 MB
    • Delivered to the registry office’s electronic address: 50 MB
    • Delivered on a portable data storage medium: 20 MB
